What’s new in Hadrone PPM?
1. Project suspension [ROADMAP 2024]
We have added the ability to suspend a project, as well as to end a suspension. When suspending a project, the user can enter the suspension start date, suspension end date and the reason for suspension. Projects can be suspended by a person with the new „Suspend projects” permission (available globally and within a sub-portfolio) or by a person with edit rights for every project (administrator).
Suspended projects are appropriately marked in the project view, project list, program and tasks in MyDashboard - however, work in such a project is not blocked. Information about the suspension is available in the project card and project card template, and it is also included in reports. It is possible to filter by suspended projects in various parts of the system. Project suspension is notified via email, logged, and included in API methods and Webhooks.
2. Collaborative work on a single task [ROADMAP 2024]
We redesigned task management within a project, allowing multiple assignees to be allocated to a single task - previously, tasks in such cases were duplicated and assigned separately to each person. There is still one task completion date and one workflow regarding task statuses. Additionally, each assignee can report the completion of their part of the task. All assignees of a given task have the same permissions.
As a result, task competence management has also changed. Assigning competences to a task is still optional and allows later planning and reporting of the time spent on the task. The changes include the ability to assign multiple competences to a single task and even multiple competences to a single person within one task. Planning and reporting of work time is done per person and per competence assigned to that person for that specific task.
Tasks with multiple assignees are marked accordingly (additional icon). Changes resulting from the introduction of multiple assignees are reflected in reports, reminders, notifications, logs, project copying, API and Webhooks.
3. Participants in activities and milestones
In addition to assigning multiple assignees to a task, we have also introduced the ability to assign multiple participants to an activity or milestone. Previously, only one user could be assigned in the role of manager for an activity/milestone. Assigning a person as a Participant in an activity/milestone requires that the user has a specialist account (similar to an activity/milestone manager).
A new „Participants” tab has been added in the lower panel under the project schedule, allowing users to view and edit participants. We have also added convenient options for quickly assigning one/multiple users to one/multiple activities and milestones.
Participants in an activity/milestone can add comments, links and files in MS Teams when working within that activity/milestone. However, they cannot change the dates or statuses of the activity/milestone.
Changes resulting from the introduction of participants have been included in reports, notifications, logs, project and schedule element copying, API and Webhooks.
4. Project status - filtering by delayed milestones [ROADMAP 2024]
In the project status screen, we have added the ability to filter by delayed milestones, including unachieved milestones.
5. Displaying information about a project being in baseline plan change mode outside the project itself [ROADMAP 2024]
Information about a project being in the process of baseline plan changes is now displayed on the following screens outside the project:
- Investments >> Portfolio >> Monitoring >> Project status
- Investments >> Projects >> Project list
- Investments >> Programs >> Program >> Monitoring >> Project status
- MyDashboard >> Projects
6. Displaying reported and unassigned expenses in projects in MyDashboard [ROADMAP 2024]
Information about reported and unassigned expenses in projects is now displayed in MyDashboard >> Projects.
7. Email notification of shared project notes [ROADMAP 2024]
We have added email notifications for shared project notes. New notifications are sent to users who have been granted access to the note.
8. Adding checklists to schedule templates
In project schedule templates, we have added the ability to create standard checklists for activities and milestones - such checklists are copied to the project when importing a schedule from a template.
9. Option to display all tasks in a project
In project settings, we have added an option to allow all users with access to the project schedule to view all tasks in the project, to facilitate smooth communication. Previously, each person could only see the tasks they were working on or supervising.
This new option has also been included in project templates and when copying a project.
10. Ability to block changes to project statuses, project stages and change requests
In project settings, we have added the ability to block changes to the statuses of a given project, its stages and the acceptance of change requests in the project’s baseline plan.
This option can be particularly useful when status, stage and change request management is handled through an external workflow system - preventing accidental changes by a user. Users with edit rights for all projects (administrators) will still be able to make such changes.
11. Additional options when copying an activity
When copying an activity, we have added the option to choose whether to copy related elements:
- checklists,
- classifications,
- activity participants,
- tasks.
12. Grouping tasks by task status
We have added the ability to group tasks by their status on the following screens:
- Investments >> Projects >> Project >> Tasks
- MyDashboard >> Tasks >> My tasks
- MyDashboard >> Tasks >> Assigned tasks
13. Other changes introduced in the latest version:
- ability to change the login and domain account of a user in the user account edit screen,
- displaying the schedule with quarterly detail in MyDashboard, portfolio monitoring and programs,
- new Webhooks regarding changes to the project identifier, external project ID, primary and extended project names,
- adding/editing/deleting expenses in a project,
- narrowing the list of task notification recipients for adding links, comments, and files,
- adding a decision-maker to the list of decisions in the project,
- action reports - adding action progress,
- reports - extending the Project status report with a Budget section,
- reports - changing the default filtering for project statuses.
