Hadrone PPM is a ready-made (out-of-the-box) solution that is configured to meet the Client’s needs during implementation. As a result, implementation costs are significantly lower compared to a platform-based solution (there are no costs for software design, development, or testing). The implementation risk is also greatly reduced, since the functionality is already built and can be verified, for example, through a pilot project.

When analyzing the costs of implementing Hadrone PPM software, it’s important to consider three main cost categories:

  • the cost of the software (including future updates),
  • the cost of implementation,
  • the cost of post-implementation support.

Additionally, if an organization requires it, the costs of a consultant who helps prepare methodology/processes and supports organizational change should be taken into account.

Hadrone PPM software cost

The price of Hadrone PPM software depends on the deployment model and the scope of the license.

Hadrone PPM can be deployed in two models:

  • On-Premises – software is installed within the Client’s IT environment,
  • SaaS – software is hosted in the Hadrone cloud.

The second pricing factor is the scope of the license, including:

  • the number of paid (specialist) users,
  • the use of additional modules.

It’s important to note that in the On-Premises model, software costs must also include the cost of the infrastructure used to host Hadrone PPM. In the SaaS model, infrastructure costs are covered by us.

Software updates (new versions) are included in the license fee, so the Client incurs no additional cost for upgrades.

Hadrone PPM is used by organizations of various sizes, running from 30 up to several thousand projects simultaneously. The number of users (both paid and free) can range from a few dozen to several tens of thousands.

The number of projects, and how the organization operates (e.g., the number of people managing individual projects, programs, portfolios, financials, resources, effects and strategic goals) all impact the required number of user accounts and modules, which in turn determines the software cost for the Client.

As a result, software prices are tailored to the size and complexity of the organization, ranging from several tens of thousands PLN per year to several million PLN per year for the largest implementations.

For large organizations seeking flexibility to use the software without limitations (in terms of number of users), we also offer a corporate license. This allows unlimited access to all user accounts—both general and specialist—for a single, fixed fee.

When comparing costs across vendors, it's important to look closely at licensing terms—especially whether all user accounts are paid. A distinguishing feature of Hadrone PPM’s licensing model is that project team members can have free accounts (and they are usually the most numerous group in the organization). This reduces licensing costs and encourages broader usage across the organization.

Hadrone PPM implementation cost

Implementation cost depends on the division of responsibilities between Hadrone and the Client. The implementation process is described in the article How long does the Hadrone PPM implementation take and what does the process involve?

The implementation scope may include:

  1. Basic implementation package,
  2. Additional services.

The basic package includes:

  • project planning and kick-off meeting,
  • support with software installation on the Client’s infrastructure (On-Premises) or activation in the cloud (SaaS),
  • configuration of built-in integrations (MS Active Directory / Entra ID, MS Teams, JIRA),
  • review of existing documentation related to project, program, and portfolio management,
  • configuration of Hadrone PPM to fit the Client’s needs,
  • preparation of training materials,
  • training sessions,
  • development of post-implementation documentation.

The number and cost of training sessions depend on whether Hadrone trainers deliver training to all users, or only to selected ones (train-the-trainers model), who then train others internally.

Additional services may include:

  • migration of existing projects,
  • integrations with Client systems (e.g., ERP, procurement, time tracking, workflow),
  • development of a data warehouse, dedicated reports, and management dashboards.

Because implementation scope varies, costs can differ significantly. Typically, the cost ranges from several tens of thousands PLN to several hundred thousand PLN.

If the implementation includes a broad range of additional services—such as migration of many projects, advanced integrations, or development of a full data warehouse and dashboards—the cost may reach several million PLN.

Post-implementation support cost

Post-implementation support for Hadrone PPM is optional and may include:

  • technical support (SLA),
  • content-related (email) support,
  • other support billed on a Time & Materials (T&M) basis.

The cost of SLA and post-implementation support depends on service parameters (e.g., response and resolution times). If standard parameters are used, the cost is more attractive. The cost of T&M-based support depends on the number of consultant hours or days included in the agreement (the more days, the better the rate).

It's also worth noting that new versions of Hadrone PPM are included in the license, so they do not affect support costs.
